Your training matrix was right the day you typed it.
If you run quality, compliance or operations and keep the matrix in Excel, you already know it drifts. MuchSkills is training matrix software that shows who is covered today and who is about to fall out, so the next audit finds records that are already true.
- Who meets each role, who does not and who is about to fall out.
- Holders are reminded 90, 60 and 30 days before a certificate expires, and on the day.
- Every certificate and proof file, correctly named, leavers included.

In the file, every training or certificate also has a valid-until column to fill in.
Your employee training matrix arrives with valid-until dates and a status per person. MuchSkills adds expiry reminders, history and a live view by site, which a file cannot.
A spreadsheet is a photo. Your organisation is a film.
A photo is true on the day it is taken. Every row was true on the day someone typed it, and your people kept moving after that.
Trained once is not covered today
The file shows who attended the course, not whose certificate ran out in March.
Nobody owns the renewal date
The first to notice is the auditor or the client. One expired certificate can mean a failed audit or a lost tender.
Joiners, movers and leavers
Each one is a manual edit, and each missed edit leaves a wrong row.
Training records that stay true without chasing
MuchSkills is training records software that sits beside your LMS and HR system and shows who is covered today.
The platform also made it easy for us to track and report on technical certifications across numerous vendors, notify the right people when certifications were close to expiring…

Spreadsheet, template or training matrix software
A spreadsheet or template is fine for a snapshot. Software earns its place when you have to be covered every day, on every site.
| Spreadsheet | Free template | Training matrix software | |
|---|---|---|---|
| Stays current | Only when someone edits it | Only when someone edits it | Updates as records, joiners and leavers change |
| Expiry dates and reminders | Dates you type, no reminders | Date columns, no reminders | Reminders to the holder at 90, 60 and 30 days and on the day |
| Joiners and leavers | Manual edits | Manual edits | Come in from the HR system |
| Evidence for an auditor | Rebuilt from inboxes and folders | Rebuilt from inboxes and folders | Change history plus one download of certificates and proof files |
| Good for | A one-off snapshot | A tiny team or a first draft | Teams that must be covered every day, across sites |

What managers ask before they retire the spreadsheet
What is a training matrix?
A training matrix is a table of roles or people against the training, skills and certificates each one needs, showing who holds what and until when. Quality and compliance managers use it to spot gaps, plan renewals and show auditors that people are competent for their work.
How do I build a training matrix?
List your roles, the training or certificates each role requires and the people in each role, then record valid-until dates. The builder on this page downloads a CSV that opens in Excel, with a status per person, and nothing you enter is stored.
What should I look for in training matrix software?
Look for requirements set per role, expiry reminders, joiners and leavers that arrive from your HR system, reports by site and team, a change history that includes leavers, and a way to export proof files for an auditor. If it only stores a grid, it is a spreadsheet with a login.
Does training compliance software replace our LMS?
No. Training is delivered in your LMS, and MuchSkills shows who is covered, who is not and who is about to fall out. It connects to any LMS and imports training completions, so each person’s training record sits next to their certificates.
Can we bring in our existing training records?
Yes. Existing certificates are imported during onboarding from a spreadsheet or vendor exports, and training completions can be imported too.
Where is our data held, and how secure is it?
MuchSkills is GDPR compliant and hosts customer personal data in the EU. It does not use that data to train, fine-tune or improve any third-party AI model, and its AI sub-processors are contractually prohibited from doing so. Its information security management is aligned to ISO/IEC 27001, with certification in progress. Details are in our Trust Center.
How is MuchSkills priced?
Compliance is an organisation licence priced on the number of people whose certificates you track. Other plans combine an annual platform fee with a price per user. Onboarding is sized to your organisation and quoted before you sign. Book a demo and we will send you a quote.
