Using MuchSkills day to day

How do we find the right people for a project or bid in MuchSkills?

Search for them. MuchSkills Discover finds people by skill, level, certificate and availability, and its Smart search understands abbreviations and related technologies and shows what it searched for, so you can check the result. For a whole team, Team Builder takes the skills, levels and number of people a project needs, recommends people who match, and shows each person's current allocation and availability before you add them at the percentage you need. Utilisation reports show who is on the bench and who is rolling off a project.

What is the MuchSkills Demand Report?

The MuchSkills Demand Report compares the skills your projects require, at each level, with the people who hold them, and flags where you have a critical shortage, a small shortage or a surplus. Opening a skill shows the projects driving the demand and the gap at beginner, intermediate and expert level, so you can decide whether to hire or upskill. It is built from the skill requirements set on projects in Team Builder, including projects synced from Jira, Tempo or Workday.

Can MuchSkills show employees a career path?

Yes. Your organisation defines role profiles in MuchSkills, with the skills, levels and certificates each role requires, and every employee sees their own fit to each published role: the skills they have and the ones they are missing. From there an employee can set development goals with AI guidance on the route, find colleagues who are experts in a skill, and connect with others building the same skill; HR can also give one goal to hundreds of people at once. Career levels work the same way, with one role profile per level, each with its own skills, levels and certificates. Managers see their team's goals and progress, which gives one-to-ones a concrete agenda.

How do managers assess their team's skills in MuchSkills?

Managers add their own assessment of each person's skills next to the employee's self-assessment, and the employee's rating stays as entered, so both views are visible and any difference becomes a conversation. From their team view, managers also validate certificates and badges, add missing ones, set development goals and see availability. Whether manager assessment is required, and for which skills, is your organisation's choice.

Can we keep staff training records and internal badges in MuchSkills?

Yes. Alongside external certificates, MuchSkills lets your organisation issue badges for internal training, programmes and milestones, track them with skills and certificates, and include them in role requirements and reports. Learning content from Udemy, Skillsoft Percipio, LinkedIn Learning, Coursera, any LMS, or your own training, mentoring and coaching can be linked to the skills and certificates each role needs, so a gap arrives with a route to close it.

Can a group of companies run on one MuchSkills account?

Yes. MuchSkills can run several organisations in one set-up, with a group view across all of them, which suits corporate groups, alliances and public bodies made up of separate entities. The Nigerian Federal Civil Service deployment runs its 46 ministries this way. The Enterprise plan covers several legal entities in one contract.

Can contractors and freelancers have MuchSkills profiles?

Yes. MuchSkills can hold profiles and certificates for contractors and freelancers as well as permanent staff, which matters when your audit or client requirement covers everyone doing the work. For bids, CV Inventory can also hold manual profiles for external consultants and candidates who are not users of your MuchSkills account.

What profile completion should we expect with MuchSkills?

It depends on how engaged your teams are. Most organisations land somewhere between 70% and the high 80s for profile completion, and nobody reaches 100%, because people are on leave, travelling, joining or leaving. Completion is also the easy part: what decides the value is whether people and managers keep coming back, which is why onboarding focuses on one-to-ones and real searches instead of the launch email. We agree goals with you at the start and design the rollout around them.

Is MuchSkills a competency management system?

Yes.

How do we map our employees' skills with MuchSkills?

Start with one role or one team. Build a role profile for each role from the MuchSkills skills database, typically 30 to 40 skills with 10 to 15 marked as prioritised, then invite people to add and rate their skills, ask managers to add their assessment, and import the certificates you already hold. You then see who has which skills at which level, where each person stands against their role, and who is developing what. For the full method, see what skill mapping is and how to do it.

Can MuchSkills help us plan for skills we will need in two or three years?

Partly. MuchSkills does not run a predictive model that forecasts future skills. It lets you describe the future you are planning for, as target role profiles and analysis lists for the capabilities you will need, and shows today's gap against them, who is already developing towards them and which certificates people are working on. The Demand Report adds the near-term view from the projects you have planned. Combined with your own strategy, that gives you a skills-based workforce plan.

How do we build a skills matrix in MuchSkills?

You do not build it by hand. Once people have added their skills, MuchSkills shows a live skills matrix for any team, department or role, with each person's level per skill, filtered by location, manager or tag. Add a role profile and the same view shows who meets each requirement and where the gaps are. For the method behind it, see the MuchSkills skills matrix.

How does MuchSkills show which skills we have and lack across the organisation?

MuchSkills Overview maps every skill across the organisation, or any department, location or team, as charts, bubbles or numbers, and its productivity view shows only people at intermediate or expert level, the ones who can do the work today. Role and capability lists then show how many people meet each requirement and where the gaps are, and the Demand Report sets that against what your projects need. Click any skill to see who holds it and at what level.

How do we find who knows what in our organisation?

Search MuchSkills. Discover finds people by skill, level, certificate, availability, location or tag, and its Smart search understands abbreviations and related terms, so a search for an expert in a technology also finds people who list it under another name. Each result shows the person's level, certificates and availability, and employees can find experts themselves from their own growth view, to ask for help or mentoring.

Can MuchSkills measure AI skills and AI readiness?

Yes, by naming the AI tools and practices people actually use, such as a specific assistant, a coding copilot or prompt design for a given platform, with a level for each, instead of a single abstract AI skills rating. The MuchSkills skills database lists AI tools alongside other technical skills, and gap analysis then shows who can use which tools at what level, team by team, and where to train first.

Can MuchSkills help us before key people retire or leave?

Partly. MuchSkills shows where knowledge is concentrated: the skills and certificates held by only one or two people, the people who hold them, and who is closest to taking them over. That lets you plan handover, mentoring and hiring before someone leaves. It does not capture what people know in documents or procedures; that still needs a handover plan, which the gap analysis tells you where to start.

Does MuchSkills work for frontline staff, and is there a mobile app?

MuchSkills runs in desktop and mobile browsers; there is no separate app to install. Frontline and production staff can keep their own profile from a phone, and where they rarely use a computer, managers or HR can enter skills and certificates for them in bulk, so the record stays complete either way. Without single sign-on, users are added by upload and set their own password.

Can MuchSkills build custom reports or features for us?

Yes. MuchSkills builds what organisations need for their specific situation, from reports for leadership to integrations and extensions, scoped with you. Tell us what you need to see or do, and we agree the scope before any work starts.
