HiBob Integration Guide

Sync employee data from HiBob to MuchSkills

Connecting MuchSkills with HiBob ensures your employee data is always up-to-date. Once enabled, new hires, profile updates, and deactivations flow directly from HiBob into MuchSkills, so your skills, growth, and workforce insights stay accurate without manual work.

This guide explains how to set up the integration and what to expect once it’s running.

What the HiBob integration does

The integration keeps employee records in sync by automatically importing:

• First name
• Last name
• Email
• Location
• Department
• Direct manager
• Avatar
• Paid time off

HiBob is the source of truth.

Whenever changes happen in HiBob, MuchSkills updates automatically.

This integration does not send any data back to HiBob. All skills, certifications, and development information stay inside MuchSkills.

Before you begin

To set up the integration, you’ll need:

• HiBob admin access (to create an API service user + token)
• MuchSkills admin access (to activate the integration in your workspace)

The setup normally takes 10–15 minutes.

Step-by-step setup

Step 1 — Create a Service User in HiBob

To start, you’ll need to create API Service User. It’s ideal to set up a permission group specifically for MuchSkills, including only the members who need to be synced. This allows you to manage changes easily on your side without relying on something like status, because there might be situations where you temporarily deactivate a member but want to keep their data in MuchSkills.

‍Fields for Integration:

‍The following list of fields is not exhaustive and any additional data that can be used in MuchSkills is welcome.

‍Highly recommended fields:

• First name
• Last name
• Email
• Location
• Department
• Direct manager
• Avatar
• Paid time off

(If not all users accessible through the API should be invited, we’ll need a field to indicate who should be invited. This can be a custom field or an existing Status field. Please let us know which field we should use for this purpose.)

‍Optional:

‍We can Tag users based on any logic you can provide from HiBob, such as: Team name, Contract type, Identifying team leads, etc.If you have custom logic for tagging, please share the details, and we’ll build it for you. Tags in MuchSkills can be useful for filtering purposes. However, it is optional and can be implemented at any time later, so it’s not a blocker.

Step 2 — Enable the integration in MuchSkills

1. Log in to MuchSkills
2. Click TEAM/ORG - Setting in top menu. Select “Integrations” option in the sidebar.
3. Select HiBob
4. Add HIBOB SERVICE USER
5. Add HIBOB TOKEN
6. Click Connect

MuchSkills will validate your credentials and show a confirmation message when the connection is successful.

Step 3 — IMPORTANT Contact MuchSkills

Once connected please contact the MuchSkills team using the chat icon in the bottom right. We will then validate the integration and make sure everything works. Once validation is done the syncronisation will start. and employees will be invited to the system.
